MEETING VENUE

The 20th meeting of AES will take place from 13 to 15 June 2019 at the Luxembourg Palace, seat of the Senate of the French Republic,
15, rue de Vaugirard
Paris (6ème arrondissement).
Access to free wifi Internet and telephone will be available for the delegations in the Palace.

WELCOMING, REGISTRATION AND CONFERENCE BADGES

Delegations will be welcomed on 13 June at hotel Concorde Montparnasse. Participants will be given their conference badge, which will give access to the meeting venue, along with documents and other information for the meeting.

ACCOMMODATIONS


Each delegation organises its booking with the hotel chosen and pays for its accommodation.

The Senate has selected a hotel located in the centre of Paris, nearby the meeting venue, the Concorde Montparnasse hotel (Place de Catalogne, Paris, 14ème arrondissement).
June is the peak of the tourist season in Paris and all the hotels are booked out early. The requests for reservation shall therefore be submitted no later than 12th April. After this date, the preferential terms negociated by the Senate for the nights from 13th to 15th June will not be applicable and the availability of the rooms will not be guaranteed.

  • specify that you are coming for the "ASE 2019" meeting when booking.

This will allow you to benefit from the special arrangement the Senate has made with the hotel for the AES meeting.

The booking and cancellation conditions are described below, for your information. Cancellation fees are based on the contracted rates:

  • In case of cancellation before 12th February 2019: No cancellation fee.
  • Before 12th March 2019: Total or partial cancellation is charged 35%.
  • Before 12th April 2019: Total or partial cancellation is charged 50%.
  • Before 28th May 2019: Total or partial cancellation is charged 75%.
  • After 28th May 2019: Total or partial cancellation is charged 100%.

SHUTTLE SERVICE

The French Senate will provide a shuttle service, by bus or car, for the duration of the session, from 13th to 15th June. Participants or delegations who are not staying in the hotel suggested by the Senate (hotel Concorde Montparnasse) will arrange their transportation themselves.

Thursday 13th June

  • The Embassies in Paris will organise their delegations’ transfer between the airport/station and the hotel. For organisational reasons, we would still need to have some pieces of information regarding your arrival and departure.
  • The welcome cocktail (7 pm) will be held at hotel Concorde Montparnasse.

Friday 14th June

  • Transportation will be provided in the morning and in the late afternoon between the hotel Concorde Montparnasse and the session venue at the Senate.
  • Transfer will also be organised in the evening to and from the Senate, where the official dinner will be offered.

Saturday 15 June

  • Participants staying at the hotel Concorde Montparnasse who wish to take part in the cultural program offered on Saturday morning will be transferred from the hotel to the spot (departure at 10.30 am). Participants staying in other hotels will join the group directly at the Caserne des Célestins (18, boulevard Henri IV, Paris, 4ème arrondissement).
  • At the Caserne des Célestins, the cavalry regiment of the Republican Guard will make an equestrian demonstration, and the participants will enjoy lunch on the spot (end scheduled at 2 pm).
  • The Senate will not provide the transportation for the transfer of the participants neither to the airport or train station after the visit, nor to the hotel.

WORKING LANGUAGES

The official working languages are English and French. The Senate will provide French/English interpretation. If they wish to use any other language, the members of the delegation will have to organise the interpretation at their own expenses.
